This is the internal reference for the Delight manager, the Research manager, sales reps and the events team running the Future-Ready People programme. It works for every Topco event; Future of HR 2026 is the current focus, and its dates are used as the example throughout.

What this is
Future-Ready People is a programme Topco runs around its events. It introduces delegates to the right people, gives leaders a benchmarked score for their people strategy, and turns that score into a 30-minute planning session with a Topco rep.
Delegates answer a pre-event questionnaire and two short surveys, all on the CRM's own forms; the answers land in the CRM against their contact; the Delight manager, Research manager and sales reps each work from their own page.
Position it as research, not sales: Topco's Future-Ready People Index — add your voice and get the results first. Everyone who completes it receives the benchmark report; everyone who opts in gets a planning session.
| Who | Where | What they do there |

One programme, any event
The programme works for every Topco event. Future of HR 2026 (14–15 October) is the first and the current focus.
- Every page under Marketing › Future-Ready People has an Event picker at the top right. Answers, speakers and sponsors, and results are kept separately for each event.
- The page opens on the event in focus: the earliest event that hasn't yet finished its three weeks of follow-up. Right now that is Future of HR 2026.
- The wording follows the event: its name and dates in the messages, the year ahead in the survey (“2027 benchmark report” for a 2026 event), and the budget-timing choices counted from the event's month.
- The timeline dates are worked out from the event's dates.
- Sales › Planning sessions lists sessions from all events together, with the event shown under each client.
Events come from the CRM
Any event under Events in the CRM from this year onwards (not archived) can be picked. Nothing has to be set up in the CRM to start a new one.

The questions and forms
Three public forms on the CRM. Anyone with a link can answer without logging in. The links, with copy buttons and live counts, are on Marketing › Future-Ready People › Process and links.
| Form | Address | Length | How it's used |
|---|---|---|---|
| Meet the right people (pre-event questionnaire) | crm.topco.co.za/forms/meet-the-right-people | 11 questions · 2 min | Sent by WhatsApp before the event, so each delegate can be introduced to 3 relevant people on day 1 |
| Future-Ready pulse | crm.topco.co.za/forms/future-ready-pulse | 10 statements + 3 questions · 3 min | At the event by QR code. Includes the planning-session opt-in |
| Future-Ready Scorecard | crm.topco.co.za/forms/future-ready-scorecard | 50 statements · 12–15 min | Sent 2 days before each planning session, using the person's own link |
The pre-event questionnaire
| # | Question | Answer |
|---|---|---|
| 1–3 | Full name, Company, Job title | Text |
| 4 | Mobile number (WhatsApp) | Text — where the “3 people to meet” message is sent |
| 5 | Company size | Under 200; 200–1,000; 1,000–5,000; Over 5,000 |
| 6 | Industry | Financial services; Telecoms and tech; Mining and energy; Retail and FMCG; Manufacturing; Public sector; Healthcare; Professional services; Other |
| 7 | What is your single biggest people challenge for the next 12 months? | Attracting talent; Retaining talent; AI and future skills; Culture and engagement; Transformation and inclusion; Employer brand; Wellbeing; Leadership development; HR technology; Other |
| 8 | Tell us a little more about that challenge | Text |
| 9 | Who would you most like to meet? (tick up to 2) | Leaders in my industry; Leaders who have solved my challenge; Speakers; Solution providers; Emerging talent (HR wording at HR events) |
| 10 | What would make the event a success for you? | Text |
| 11 | May we introduce you to other delegates, and share your name, role and company? | Yes, please; No thanks |
| POPIA consent | Tick-box |
All questions are required. Every answer is also written as a note on the person's CRM contact, so a rep can open a conversation with their challenge.
This replaces the Google Form
The questions are the same as the earlier Google Form, plus the mobile number. Send delegates the CRM link only; answers given on the Google Form don't reach the CRM.
Answers from Topco Matchmaking count too
A delegate can also give their industry and who they'd like to meet on their Topco Matchmaking profile. The CRM combines both into one row per delegate, so nobody is listed twice.
Always copy the link from the CRM
The links carry the event (?e=…). A link without it goes to whichever event is in focus on the day it's opened.
Consent
Every form has a required POPIA consent tick-box. A person can opt out at any time: a Marketing manager or admin can delete their answers from the answers tables.
Before and at the event
Switching it on for an event
Nothing has to be built for a new event; these steps make it ready.
- Pick the event in the CRM and copy its links
Open Marketing › Future-Ready People, choose the event in the picker, and copy the questionnaire link for the WhatsApp invitation and download the QR codes.
- Optional: switch on the profile questions in Topco Matchmaking
In the Matchmaking staff admin, open the event and tick Ask delegates their industry and who they'd most like to meet. Delegates then see a Meet the right people block on My profile. This is on for Future of HR 2026.
- Add the speakers and sponsors to introduce
On the Matchmaking tab, add at least one speaker and one sponsor “For everyone”, plus any who suit a particular challenge or industry.
Before and at the event
Matchmaking introductions
Marketing › Future-Ready People › Matchmaking shows one row per delegate who answered, the challenge totals, and each delegate's three introductions with the message ready to send.
- Check the challenge totals
Copy the totals and share them with sponsors and the programme team. The top 3 challenges are named for the breakaway tables. Totals by industry and by who delegates want to meet are alongside.
- Remind people who haven't answered
The Reminders list shows registered delegates with no answer. Each row opens WhatsApp with a personal reminder ready to send.
- Enter the meeting point
Type where delegates should meet during the morning break. It is filled into every message.
- Send the introductions on day 1 at 7:30
For each delegate, use Open in WhatsApp (or Copy message), send it, then click Mark sent.
How people are matched
- Only delegates who answered Yes to being introduced are matched, and only to others who also said yes.
- Two peers: matched first on challenge, then industry, then company size. Never someone from their own company.
- One speaker or sponsor: a sponsor if they asked to meet solution providers, otherwise a speaker; one added for their challenge is preferred, then their industry, then “For everyone”.
- A delegate who only answered on their Matchmaking profile has no challenge or company size, so they are matched on industry.
- Introductions are spread around, so the same two people aren't suggested to everyone.
Suggestions keep changing
Introductions are recalculated as answers come in. Send them once answers have closed, not before, or two delegates may be told different things.
Before and at the event
Sending on WhatsApp
The CRM writes the messages; a person sends them. Nothing is sent automatically.
Use an announcement-only group (a WhatsApp Community announcement group, or a WhatsApp Business broadcast) where only Topco can post. In an open group every delegate sees everyone's number and replies, which creates POPIA risk and noise. Send a link rather than a WhatsApp poll: polls show who voted and can't capture detail.
| When | Message | Where to find it |
|---|---|---|
| 8 days before | Invitation with the questionnaire link | Process and links › WhatsApp messages |
| 4 days before | Reminder to non-responders | Process and links (group) or Matchmaking › Reminders (personal) |
| Day 1, 7:30 | Personal “3 people to meet” message | Matchmaking › Introductions |
| Last day, 17:00 | Thank-you and pulse survey link | Process and links › WhatsApp messages |
Before and at the event
The pulse survey
Ten statements, two per section, rated 1 (strongly disagree) to 5 (strongly agree), then three short questions and the opt-in. Target: about 30% of delegates (150+ of 500 at Future of HR).
- Download the QR code
On Process and links, the QR codes card has a code for each form for the event picked. Click Download PNG under the pulse survey and put it on the MC's slide and any printed cards. Test it on a phone, on venue Wi-Fi and on mobile data, a week before.
- Confirm the MC slot
3 minutes after the opening keynote on day 1, repeated after lunch.
- Watch responses come in
Scorecard results shows the count and how many asked for a session.
When someone submits, they immediately see their own Inside and Outside scores and their five section scores. Anyone who answers Yes to the planning session appears in Sales › Planning sessions.
After the event
Planning sessions
Sales › Planning sessions lists everyone who asked for a session, across all events. Reps see their own sessions and any not yet assigned; sales managers and Marketing see all.
- Assign a rep and book a time
Open the session, pick the rep and the date and time. Book within 5 working days of the event.
- Send the invitation
Copy invitation email or Open in email gives the follow-up email, already filled in with the event, the rep's name and the person's own scorecard link. Add the two time options before sending.
- Send the full scorecard 2 days before
Use Copy scorecard link — it is that person's own link, so their answers attach to their contact. Tick Scorecard sent.
- Run the session
Follow the rep guide below.
- Record the CRM entry the same day
Fill in section 3 of the session and save.
| Status | Meaning |
|---|---|
| To book | Opted in, no date yet |
| Booked — send the scorecard | Has a date; the scorecard hasn't gone out |
| Booked — scorecard sent | Waiting for them to complete it |
| Booked | Scorecard completed; ready for the session |
| CRM entry needed | Session held, no forecast recorded |
| Done | Session held and forecast recorded |
People who didn't opt in
Send them the benchmark report when it's published, with one line at the end: If you'd like to see how your organisation compares, reply and we'll set up a 30-minute session.
After the event
Scoring and profiles
Five sections, A to E. On the full scorecard each section has 10 statements and totals out of 50; on the pulse each has 2 and totals out of 10.
| Section | Covers |
|---|---|
| A | Tech and AI readiness |
| B | Line-manager enablement |
| C | Culture and people practices |
| D | Employer brand story |
| E | Visibility and recognition |
- Inside score = A + B + C: how future-ready the organisation really is.
- Outside score = C + D + E: how well the market knows it.
Culture counts in both, because it is the bridge between what you do and what you say. A score averaging 3.5 or more counts as high: 105 of 150 on the full scorecard, 21 of 30 on the pulse.
| Profile | Inside | Outside | What it means | Recommend |
|---|---|---|---|---|
| Showcase leader | High | High | Strong inside and visible outside | Headline sponsorship, keynotes, Top 500 or Top Women |
| Hidden gem | High | Low | Strong practice, story untold | Media profiles, speaking slots and awards entries |
| Promise ahead of reality | Low | High | Visible outside, practice lags inside | Event passes, roundtables and research access |
| Starting out | Low | Low | Building the foundations | Delegate passes and the benchmark research |
One rule
The rep recommends only from the client's own profile, and ties each recommendation to their lowest-scoring section. The session shows both.
After the event
Rep guide: the 30 minutes
The rep reviews the client's scores, recommends 2–3 things, and leaves with a forecast number. The rep never presents the full product list.
Before the session
- Check the completed scorecard and note the profile.
- Pull the client's last 4 years of Topco spend from the company record.
- Pick 2–3 recommendations from the profile.
- Print or share the one-page Topco calendar for the year ahead.
Running order
- Open (2 min)
“Thanks for completing the scorecard. I'll show you how you compare, and then we can talk about what would help most next year.”
- Scores (8 min)
Walk through the Inside and Outside scores and the profile. Ask: “Does that feel right to you? What surprised you?”
- Their priorities (8 min)
“What's the biggest investment you've made in your people this year?” “What are your top priorities for next year?” “What's already in your calendar: Women's Month, results season, graduate intake?”
- Recommend (5 min)
Present 2–3 options that match their profile. Link each one to their lowest-scoring section.
- Budget and decision (5 min)
“When is your budget finalised, and whose budget does this sit in?” “Who else needs to be involved to say yes?” “Realistically, what would you expect to invest with us next year, and in which quarter?” “What would need to be true for that to happen?”
- Close (2 min)
Agree the next step, with a date and names.
After the event
The CRM entry
Recorded the same day, in section 3 of the planning session.
| Field | What to capture |
|---|---|
| Profile | Hidden gem / Promise ahead of reality / Showcase leader / Starting out |
| Inside and Outside | Out of 150 each. Filled in automatically when the full scorecard is completed |
| Recommended products | The 2–3 put forward |
| Q1 and Q2 amount (R) | The client's own estimate for the first two quarters of the year ahead |
| Forecast category | Commit / Likely / Possible |
| Evidence | What the decision-maker actually said |
| Next step and date | Who, what, when |
Forecast categories are evidence-based:
- Commit: the decision-maker confirmed the amount and timing.
- Likely: the need and budget exist but aren't confirmed.
- Possible: there has been a conversation only.
Evidence is required
A forecast category can't be saved without the evidence. The page totals Q1 + Q2 by category across all sessions.
After the event
The benchmark report
Scorecard results holds the numbers the report is built from, for the event picked.
- Average score per section, and average Inside and Outside, for the pulse and the full scorecard.
- How many respondents fall into each of the four profiles.
- Top people priorities for the year ahead, when budgets are finalised, and who else is involved in decisions.
- Every respondent with their scores. Download spreadsheet gives the full list for Excel or Google Sheets.
The report itself is written by the Research manager and sent to all respondents about two weeks after the event.

Good to know
How the programme behaves, and what it deliberately doesn't do.
| Topic | How it works |
|---|---|
| One delegate list | A delegate who fills in the questionnaire and also answers on their Topco Matchmaking profile appears once. For each question the most recent answer is used; the “Answered on” column shows where it came from. |
| The questionnaire has no email question | Answers are linked to an existing contact by mobile number, or by name and company. If neither matches exactly one contact, the answer still counts but isn't linked, and can't be combined with their Matchmaking profile answers. |
| Two sets of matches | Topco Matchmaking still shows delegates its own matches from the sectors on their profile, and they connect with each other there. The “3 people to meet” introductions are hand-sent by Topco from the CRM. Delegates get both. |
| Matchmaking delegates without an email | Profile answers from a delegate who signed in with a pass and hasn't added an email only reach the CRM once they add one. The questionnaire doesn't have this limit. |
| Messages | Neither system sends the WhatsApp or email messages in this process itself. WhatsApp opens with the message ready; email is copied or opened in your mail app. |
| QR codes | Process and links has a QR code for each of the three forms, as a print-size PNG. Each code is for the event picked, so download new ones for a new event. The scorecard code is the general link; for a planning session send the person's own link instead. |
| New contacts | The pulse and the scorecard ask for a work email, and create the contact if it's new. Existing contact details are only filled in, never overwritten. |
| Not in Marketing › Leads | Respondents aren't added to the leads queue, so no deals or rep notifications are created automatically. The planning session is the hand-off. |
| No prize draw | The pulse survey doesn't offer a prize. What respondents are promised is the benchmark report first. |
| Counts in messages | “Over N delegates have already shared…” only appears once at least 10 have answered, rounded down to the ten. Before that the reminder and the follow-up email use wording without a number. |
| Changing your mind on introductions | If a delegate answered in both places, the most recent answer decides whether they are introduced — including a later “no”. |
| Answering twice | A person's latest answer for an event is the one that counts. |
| Registered delegates | Reminders use the event's registrations in the CRM. Networking-only sign-ups and cancellations are left out. |

Troubleshooting
| Problem | What to check |
|---|---|
| A delegate appears twice | Their questionnaire answer couldn't be linked to their contact (a different mobile number, or the name spelled differently). Correct the contact's mobile number, or delete the extra row. |
| Delegates don't see the two questions on their Matchmaking profile | The profile questions aren't switched on for that event in the Topco Matchmaking staff admin. The questionnaire works regardless. |
| A delegate answered but isn't on the CRM Matchmaking tab | Check the right event is picked. Questionnaire answers appear at once; Matchmaking profile answers go up when the profile is saved and are retried every few minutes. |
| A delegate has only 1 or 2 introductions | No speaker or sponsor has been added for the event, or too few other delegates have agreed to introductions yet. |
| “Number can't be used for WhatsApp” | The mobile number isn't valid. Copy the message and send it by hand, or correct the number on the contact. |
| The page shows the wrong event | Use the Event picker at the top right. Links you copy afterwards carry that event. |
| A rep can't change a session | It belongs to another rep. A sales manager or Marketing can reassign it. |
| Someone asked later for a session but isn't listed | Sessions are created when a person opts in on the pulse or completes the full scorecard. Send them the scorecard link for the event. |
| A scorecard came in under a new contact | They used the general link with a different email. Always send the person's own link from their planning session. |
| “Too many attempts” on a form | More than 300 submissions came from one network in 10 minutes. Wait a few minutes. |
